Letting

Letting to suitable tenants.

Offices, retail, restaurants, warehouses and apartments. We find tenants who suit the property, check them thoroughly and prepare the contract.

What we take care of.

Preparation

  • Rent based on location, condition and use
  • Checking the type of use, permits and, for residential space, the rent cap (Mietpreisbremse)
  • Photos, floor plans and exposé
  • Energy performance certificate (Energieausweis) and mandatory details for the listing

Finding tenants

  • Listing on ImmoScout24, immowelt and Kleinanzeigen
  • Viewings with a preselection
  • Checking the self-disclosure, credit rating and, for commercial space, the business concept
  • A reasoned recommendation; the decision is yours

Contract and handover

  • Tenancy agreement based on agreed templates
  • Graduated or index-linked rent, deposit, service charges
  • Handover with a written protocol and meter readings
  • On request, ongoing management by HEPA Hausverwaltung

What matters when letting.

Restaurants with succession

Often a new operator takes over the fixtures and fittings and the licence of the predecessor against a transfer fee. We bring the landlord, the previous and the new operator together, check the successor’s concept and financing and obtain the landlord’s consent.

Office and practice

What matters are the layout, the fit-out and the term. We clarify in advance who bears which alterations and record this in the tenancy agreement.

Retail

Location, shop window frontage and use must fit together. We check whether the planned use is permitted under building law before the contract is signed.

Warehouses and logistics

Space, ceiling height, doors, floor load and access: we compile the technical data so that users can decide quickly.

Apartments in Berlin

The rent cap (Mietpreisbremse) applies throughout Berlin. Before listing, we check which rent is permitted and document exceptions such as new buildings, comprehensive modernization or a higher previous rent.

First letting in new buildings

Several units at once: we plan rents, floor plans, exposés and viewing appointments as a package so that the building is occupied quickly.

What we ask prospective tenants for before the contract is signed.

We ask only for what is needed for the decision, and only once a contract is actually on the table.

  • Self-disclosure (Selbstauskunft), limited to the details needed for the tenancy agreement
  • Proof of income for the last three months, once the contract is actually about to be signed
  • Credit report, also only before the contract is signed
  • For residential space: confirmation from the previous landlord, where possible
  • For commercial space: extract from the commercial register, business concept and, for start-ups, proof of financing
  • ID card for inspection, without a copy

Frequently asked questions

Good to know.

Who pays the commission?

Prospective tenants of apartments pay no commission unless we search exclusively on their behalf (Bestellerprinzip, § 2 Abs. 1a WoVermRG). As a rule, it is therefore paid by the landlord who instructs us. For commercial space, the commission is freely negotiable. Who pays it is agreed in writing before we start.

How do you check prospective tenants?

With a self-disclosure, proof of income and a credit report, and for commercial space additionally with the commercial register, the business concept and the financing. You receive a reasoned recommendation from us. The decision is yours. In doing so, we observe the requirements of the General Equal Treatment Act (Allgemeines Gleichbehandlungsgesetz).

What rent may I charge in Berlin?

For apartments, the rent for a new tenancy may in principle be at most ten percent above the local comparative rent (§ 556d BGB). Exceptions apply to apartments that were first used and let after 1 October 2014, to the first letting after comprehensive modernization, after modernization work in the last three years and where the previous rent was higher (§§ 556e, 556f BGB). The rent cap does not apply to commercial space.

How high may the deposit be?

For residential space at most three months’ rent excluding service charges, payable in three installments (§ 551 BGB). For commercial space the amount is freely negotiable; cash deposits, bank guarantees or rent deposit insurance are common.

Can you also manage the apartment or space afterwards?

Yes. On request, HEPA Hausverwaltung, our sister company, takes over rent accounting, the service charge statement and maintenance.
